WhatsApp Google Sheets integration: send chat leads to a sheet and look up records

Connect your Google account to Chatzyn, then add a Google Sheets step to a chatbot flow. The step either adds one new row to your spreadsheet with what the customer told you, or finds a row in your sheet and brings its details back into the chat.

What the Google Sheets integration does

There are two steps you can drop into any flow in the flow builder. Both work on a spreadsheet you already keep, with the column headings in row 1.

  • Add a row to a spreadsheet: writes what the conversation knows, such as the customer's name, phone number and the answers they gave, into a new row each time the flow reaches the step.
  • Find someone in a spreadsheet: searches one column of your sheet for a value, such as an order number or phone number the customer typed, and carries the matching row's details back into the conversation.

The steps run inside a flow. Rows are written or read when a conversation reaches that step, not on a timer.

Save WhatsApp leads to Google Sheets

A common setup: a flow asks a new enquiry for their name, city and what they need, then the Add a row step writes those answers into your Leads sheet. Your sales team works from the sheet they already use.

You map each column heading to a value. A value can be fixed text you type, or a merge field filled in at run time, like the contact's phone number or an answer from an earlier question in the flow.

Chatzyn reads your sheet's header row before it writes, so each value lands under the right heading even if your columns are in a different order. Heading matches ignore capital letters and extra spaces. If a heading you mapped is not in the sheet, the value goes into a new column at the far right instead of being dropped.

  • Anything a customer typed is saved as plain text, so a reply that starts with an equals sign never becomes a formula in your sheet, and phone numbers keep their leading zeros.
  • Your own fixed values, like a date or a number you typed into the step, are entered the way they would be if you typed them into the sheet yourself.
  • Up to 26 columns per step.

Look up an order or customer from a sheet

The Find someone step searches one column of your sheet from row 2 down and takes the first row that matches. The search ignores capital letters and extra spaces.

For each column you want back, choose where it goes: an answer you can use in the next messages of this flow, or a custom attribute saved on the contact, which your team can see on the contact's record and use in segments.

The step has two outlets, Found them and Not found, so you can reply "Your order is out for delivery" to one and hand the other to a person. You can also use it with nothing stored, just to ask whether this customer is on your list.

How to connect Google Sheets to WhatsApp

  • Connect your WhatsApp number to Chatzyn first (Settings, Channels).
  • A workspace admin opens Settings, Integrations and connects a Google account. Chatzyn asks for access to your spreadsheets and your email address, so you can tell which Google account a flow is using.
  • In the flow builder, add the Add a row or Find someone step and paste your spreadsheet's address.
  • Pick the tab and the column headings from the dropdowns. Chatzyn reads them from your sheet, so you do not have to type them exactly.
  • Publish the flow.

What happens when the sheet cannot be reached

  • If no Google account is connected, or the connection was removed, the Add a row step takes its Google not connected outlet and the flow carries on.
  • If Google turns down the connection, for example because access was withdrawn in your Google account, Settings, Integrations tells you to reconnect it.
  • If Google itself fails while writing a row or reading the sheet, the run is marked Failed in the flow's analytics, rather than telling the customer you have no record of them.

WhatsApp rules still apply

The integration moves data between your chats and your sheet. It does not send messages to a list of numbers in a spreadsheet.

Chatzyn uses Meta's official WhatsApp Business Platform only. Messages to customers who have not messaged you in the last 24 hours need an approved template, and marketing templates need the customer's opt-in. See the WhatsApp API pricing page for Meta's per message rates.

Questions people ask

Can I connect WhatsApp to Google Sheets without code?

Yes. You connect a Google account in Settings, Integrations and add a Google Sheets step in the flow builder. There is no script or Apps Script to write.

How do I save WhatsApp leads to Google Sheets automatically?

Build a flow that asks the questions you need, then add the Add a row step after them and map each column heading to an answer. Each conversation that reaches the step adds one new row.

Can a WhatsApp chatbot read data from Google Sheets?

Yes. The Find someone step searches one column for a value the customer gave, such as an order number, and brings the matching row's details into the conversation or saves them on the contact.

Does editing my Google Sheet send WhatsApp messages?

No. Changing a row in your sheet does not trigger anything in Chatzyn. The sheet is written or read only when a conversation reaches a Google Sheets step in a flow.

Can I send bulk WhatsApp messages to numbers in a Google Sheet?

Not through this integration. Broadcasts go to contacts in Chatzyn and need approved templates, and marketing messages need the customer's opt-in under Meta's rules.

What if I rename a column in my sheet?

Headings are matched by name, ignoring capitals and spaces. If a mapped heading is no longer in the sheet, Add a row puts that value in a new column at the far right instead of losing it, and you can fix the mapping in the step.

Which Google permissions does Chatzyn ask for?

Access to your Google Sheets spreadsheets, plus your email address so the connection shows which Google account it uses. It does not ask for Drive or contacts access.
